Order Italian Documents

If you are applying for Italian Dual Citizenship you will need supporting Italian documents. Certified copies of the following will be needed:
  1. Your Ancestor’s Italian Birth Certificate
  2. If his or her spouse was also born in Italy, his or her spouse’s Italian Birth Certificate
  3. And if they married in Italy their Italian Marriage Certificate
The Italian law regulating civil vital registration records allows the release of EXTRACTS of the original Birth/Marriage/Death Acts with complete details (listing the parents’ names and all side notations, i.e. Long Form). This is the format required by the Italian Consulate to process dual citizenship applications:

  • Birth ActEstratto per riassunto dell’atto di nascita
  • Marriage ActEstratto per riassunto dell’atto di matrimonio
  • Death ActEstratto per riassunto dell’atto di morte
  • Some Italian Consulates also require a:
  • Certificate of Citizenship - Certificato di Cittadinanza
Issued by the local town hall to prove that the Italian Ancestor was still an Italian citizen at the time of his/her migration to the US or other country. Town halls in Italy do not have a common procedure regarding what to issue when it comes to Certificates of Citizenship they sometimes issue a statement certifying that based on the records they have available (which is usually ONLY the birth certificate since people migrated away at a young age) the person did not lose his/her Italian citizenship. Sometimes they ONLY issue the birth certificate which does NOT list a side notation with information on his/her loss of citizenship, and other times they issue a declaration stating the reason why they could not certify the person’s citizenship status. Whichever document we receive you will have to present it together with My Italian Family’s official town hall request for the statement, to the Italian Consulate the day of your appointment.

To order a record, you need to have the essential information of your Ancestor who left Italy:
  1. Full name of your Ancestor
  2. Date of Birth/Marriage/Death
  3. Town in which your Ancestor was born/married/died

When you order a document, My Italian Family will do the following:

  • Mailing a written request to the Italian Town hall – In order to prevent fraud and to comply with the requirements of the existing privacy laws more and more town halls may require a letter of authorization signed by the direct descendant by means of which he/she authorizes us to request a family document on his/her behalf. A copy of the direct descendants’ valid photo ID (passport or driver’s license) is also required and it will be forwarded to the local town hall together with the signed authorization letter and a copy of our valid photo ID.
    If the Birth/Marriage/Death document you are requesting is dated on or after 1935, the signed authorization letter and copy of your valid photo ID becomes a requirement; Italy is regulated by the privacy law (Law no. 675/1996 implementing EU Directive 95/46 on Personal Data Protection) which limits the disclosure of sensitive information; information on living people is considered sensitive thus unavailable to third parties without the person’s written authorization.

  • Unlimited follow-ups by communicating (fax and/or phone) with the municipal office to obtain an official reply, either with the record(s) ordered or with a notification of No Record Found.

  • Translation of the record(s) from Italian into English.

  • Shipping & Handling
    • Shipping to a U.S. address by USPS Certified Mail (FREE with tracking)
    • Shipping outside the U.S. by USPS Air Mail (FREE no tracking)
    • Shipping outside the U.S. by USPS Registered Mail ($15 with tracking)
    • Shipping outside the U.S. by Express Mail.

However, there are these caveats for:

  • Parish Churches: Please note that My Italian Family will ONLY process requests to Town Halls (for Birth/Marriage/Death Records and Certificate of Citizenship Records) and to State Archives (for Military Records), but NOT to Parish Churches.

  • Town Halls of Rome and Milan: We do NOT forward written requests to the town halls of Rome or Milan. In order to acquire individual document/s issued in the format required by the Italian Consulate to process Italian Dual Citizenship applications we have to send one of our researchers onsite in person to submit the request. It may take up to thirty days for these town halls to issue the document/s requested. To receive a quote, please email us at records@myitalianfamily.com
  • US $45 processing fee to request each individual BIRTH, MARRIAGE AND DEATH RECORD and CERTIFICATE OF CITIZENSHIP RECORD.
  • REMEMBER: The Italian Consulate will not return the Italian documents you submit with your application. You can buy one or more additional copies if more than one family member is applying with you or to keep as an heirloom.

    Additional copies are $5 each for the 1st and 2nd, and then $15 each for the 3rd copy or more.

  • US $100 processing fee to request each individual MILITARY RECORD. $50 processing fee for each additional copy of a Military Record requested.

  • US $100 down payment to request a HISTORICAL STATE OF THE FAMILY (Stato di Famiglia Storico). Even though there is no standard procedure, some Town offices can charge up to an amount that can reach $15 to $20 per name listed in the document. If a family was composed on average of 10 names or more, it would cost you approximately: $150 to $200 additional processing fee per document.
  • PLEASE NOTE: State of the Family Records started to be recorded before the 1900s in the North of Italy but only after 1930 in the South of Italy. This is because the office in charge of issuing such documents called Anagrafe was created after 1930; by then your Ancestors may have migrated away and no information is available on their family.

When your request is forwarded to the appropriate government office, your credit card or PayPal account will be charged or your check cashed, depending on your form of payment.

It is hard to say how long it may take to receive the document requested: usually it's about 4 to 8 weeks or more. Italian public sources will be solicited after 4 weeks, first by fax and then by telephone. You will either receive the record(s) requested or a notification of No Record Found.

DISCLAIMER: My Italian Family does not guarantee the result of the request that will be sent to Italian sources. In acting purely as an intermediary, we still rely on the work of officials who may or may not cooperate. Records may be kept in separate archives, may have changed location, or suffered damages, thus reducing the chances of success. The most common reason for failure is the result of the customer asking us to request a document from the wrong town of origin.

We do not offer refunds in the event the research outcome is negative.
